Commercial Events Co-Ordinator
OVERVIEW
Westonbirt School are seeking an events co-ordinator to sit within the Commercial Team. Reporting to the Commercial Manager, you will work proactively to support the commercial operations of the school, which include weddings, events, residentials, filming and Leisure Centre hire.
The successful candidate will have an outgoing and friendly character and will be able to provide all stakeholders with a high level of customer service. Someone who can react to and solve problems quickly and look out for commercial opportunities. Excellent verbal and written communication, time management and customer service skills are vital to be successful in this role.
A background, or qualification, in hospitality, sales and events would be advantageous.

Hours, Salary & Benefits:
Hours: Full time, permanent position. 37.5 hours per week. This role includes working some evenings and weekends.
Salary: £26,000 – £28,000 depending on qualifications and experience

Job Description:
Operations:
- Assist with and/or manage the smooth running of weddings, events and lettings as directed by the Commercial Manager
- Maintain an accurate events calendar and ensure it is clearly and regularly communication to all relevant departments
- Support the HR team with the recruitment and management of casual staff, and maintain accurate records of event staffing for payroll purposes
- Coordinate the process for annual surveys of customer satisfaction as agreed with the Commercial Manager
- Support the Commercial Manager in setting and delivering high standards of the department
- The role will require the individual to assist with Discover Activity Camps and Summer Schools as needed, at the discretion of the Commercial Manager
Sales Support:
- Coordinate sales process, reporting into the Commercial Manager on a regular basis.
- Respond to all sales enquiries in a timely and professional manner
- Ensure all sales leads are recorded, tracked and promptly followed-up
- Organise and deliver sales visits, show rounds and fam trips as required
- Create and issue (through our finance team) invoices for all bookings in a timely manner
Marketing:
- Support and run media activity as set out in the marketing plan working closely with the Head of Commercial Marketing and the Commercial Manager
- Support the marketing team to create digital content through design and photography
- Ensure that the website, listings and other marketing materials are kept up to date
- Support the Commercial Manager in proactively identify opportunities to raise the profile of the commercial operations to drive additional business
Experience:
- Previous experience in a similar role would be advantageous but not essential
- Proven record of being in a sales and customer service focused role
- Experience in social media platforms
- Experience in managing and collating information from a data base
Skills:
- Excellent written and interpersonal communication skills.
- The ability to build relationships with colleagues and in the local community.
- Strong commitment to high standards of service delivery and customer care.
- Excellent time management and organisational skills, with the ability to remain calm under pressure.
- Strong IT skills including a good working knowledge of Excel, Word and Outlook.
