Administration Manager – Sales Specialism

OVERVIEW

We’re looking for a highly organised and motivated Administration Manager, with a Sales Specialism, to join our commercial team. This hybrid role offers a mix of remote working and time in the commercial office based in Westonbirt School. You’ll be responsible for a wide range of administrative and customer service tasks that support the smooth operation of commercial offerings and deliver an excellent service to both internal and external stakeholders.

The post‑holder must be adaptable and willing to work with different teams within the commercial department, prioritising workload based on where help is most needed at any given time.

Reports to: Head of Business Development

 

Hours, Salary & Benefits:

Hours: Full-time, permanent, year‑round role. Hybrid working: primarily remote with a minimum of one day per week on-site at Westonbirt School. Office attendance may increase in line with business needs.

The role requires a flexible approach to working hours, with occasional work outside standard hours to meet operational demands. Time off in lieu will be provided for additional hours worked.

Salary: £30,000 pa

Job Description:

  • Provide high-quality administrative support across all commercial offerings, including educational programmes such as International Summer School and Easter Revision Camp, commercial events such as weddings and corporate events and Discover Activity Camps.
  • Respond to customer, international agent and supplier enquiries via phone and email, ensuring a professional and helpful approach
  • Assist in the processing and tracking of orders, invoices and supplier information
  • Support procurement and contract administration, including updating internal systems and maintaining accurate records
  • Prepare and format documents and reports as needed
  • Help coordinate communications between internal departments and external stakeholders
  • Identify and flag any issues or opportunities to improve customer service, operational efficiency or sales conversion
  • Contribute to customer retention by providing excellent post-sale support and identifying cross-sell or upsell potential
  • Maintain a working knowledge of key products and services to effectively support sales and customer engagement efforts

What we are looking for:

  • Previous experience in an administrative or customer service role
  • Excellent communication and interpersonal skills
  • Flexibility to work additional/flexible hours during busy periods as required
  • Strong attention to detail and accuracy
  • Ability to manage multiple tasks and prioritise effectively
  • Confident using Microsoft Office (especially Excel, Word, and Outlook)
  • A friendly, team-focused attitude and a willingness to get stuck in

Desirable:

  • Experience working in or with schools or education-focused organisations
  • Ability to tailor customer service and sales approaches to the education sector
  • Experience supporting educational events or school-focused commercial offerings
